With this integration you can automatically post your wall entries into a Microsoft Teams channel. Below is an example of what a post looks like in Microsoft Teams for an individual recognition:
Step 1 - Create a workflow in Teams
- Login to Teams
- Expand the Team that you want to use (you must be an owner of the Team)
- Rollover the Channel that you want to use
- Click the ... and select Workflows
- In the Start from a template section, select Send webhook alerts to a channel (TIP - If you cant see it, click the "All templates" link)
- Check the Team and Channel are correct
- Click the Save button
- Click the pen icon next to the name if you want to change it
- Click the "Copy webhook link" link and save it somewhere for Step 2
Step 2 - Configure and enable the integration
- Login to your Workstars administrator account (must be the primary account or technical user)
- Click System Settings in the top margin
- Click Integrations from the left-nav menu
- Click Teams
- In the Workflow URL box enter the value you saved from Step 1
- If you are running in a country with multiple languages, select the language you would like to post in
- This only applies to the general content (e.g. “has been recognised by”), as the person making the recognition can enter the reason in any language
- If in doubt set it to English
- Click the Enable button and we will post a test message
-
Login to Teams and view the channel, there should be a post that says This message was sent to test the connection
- If you cannot see the message, click No and check the URL is correct
- If the message looks OK, click Yes to enable the integration
The integration is now setup and any new wall posts should also be posted into Microsoft Teams. You can view what is happening by viewing the Integration Log.
TIPs
What channel should I use?
- We recommend choosing/creating a channel just for your recognitions.
- This prevents them being lost in channels that have lots of activity.
- We also recommend setting the channel so employees cannot post to it.
- This ensures that any replies (e.g. congratulations) are added to your recognition program rather than the Teams post.
- See section below on how to restrict posts to the channel.
To prevent employees posting to the channel:
- Login to Teams
- Expand the Team you are using
- Rollover the Channel that you want to use
- Click the ... and select Manage Channel
- In the Moderation section, change "Channel moderation" to "Off" (you must be an owner to change this)
- Untick "Allow members to reply to channel messages"
- Untick "Allow members to pin channel messages"
- Leave the "Allow bots..." and "Allow connectors..." permissions ticked
FAQs
Can I make it post from "Recognition" or the name of my program?
No and Yes. Microsoft Workflows do not allow the name of the poster to be customised. The only way to do this, is to create a user called "Recognition" (or whatever you want it to say) and change the Workflow to post from that user.
How do I disable the integration?
In the Workstars administration portal, go to System Settings then Integrations and select the integration. Click the Disconnect button and confirm.
How do I change the settings (e.g. the account its connected to, channel it posts to, etc.)?
To ensure the setup works correctly it is not possible to change settings, please disable the integration and start again (see Step 1).
Good to know
- Wall posts feed one-way from the recognition wall to Microsoft Teams
- Comments or likes posted on the wall do not feed to Microsoft Teams
- Comments or likes posted in Microsoft Teams do not feed back to the recognition wall
